1. Introduction
Botsense, operated by Botsense Tech Private Limited (CIN: U51390MP2019PTC049306), is a Software-as-a-Service (SaaS) platform that provides WhatsApp Business API solutions, chatbot development, broadcasting tools, shared inbox, analytics, and related digital services to businesses across India and beyond. All products and services offered by Botsense are delivered digitally over the internet. There are no physical goods, physical shipments, or physical delivery mechanisms involved in any Botsense transaction. This Shipping and Delivery Policy describes what you receive when you subscribe to Botsense, how and when digital services are delivered, and what to expect during the onboarding process.
2. Digital Service Delivery
When you subscribe to a Botsense plan, you receive access to the following digital services and tools, delivered entirely online:
- Botsense Platform Access: Full access to the Botsense platform, which serves as your central hub for managing all WhatsApp Business API operations. The platform is accessible via any modern web browser on desktop or mobile devices.
- WhatsApp Business API Integration: Botsense connects your business phone number to the official WhatsApp Business API, enabling you to send and receive messages at scale, use message templates, and manage customer conversations professionally.
- Dashboard and Tools: Your subscription includes access to the broadcasting module for sending bulk WhatsApp campaigns, the visual chatbot builder for creating automated conversation flows, the shared team inbox for collaborative customer support, and the analytics dashboard for tracking message delivery, read rates, and campaign performance.
- n8n Automation Workflows: Depending on your subscription plan, you may receive access to n8n-based automation workflows that connect Botsense with your existing business tools such as CRMs, e-commerce platforms, helpdesks, and other third-party applications.
All services listed above are delivered digitally. No physical media, hardware, or shipped materials are part of any Botsense subscription.
3. Delivery Timeline
The following timelines apply to the delivery of various Botsense services. Please note that these are standard estimates and actual timelines may vary based on external factors described later in this policy.
- Platform access: Instant upon payment confirmation. Once your payment is processed and confirmed by our payment gateway (Razorpay), your account is activated and you can log in immediately.
- Login credentials: Sent to your registered email address within minutes of successful payment. Please check your spam or junk folder if you do not see the email in your primary inbox.
- WhatsApp Business API setup: 1-3 business days. This process involves verifying your business with Meta (the parent company of WhatsApp) through their Business Manager. The timeline depends on how quickly Meta processes your verification and whether all required business documents are submitted correctly.
- Green Tick (verified badge) application: 2-4 weeks. The green tick badge is reviewed and granted exclusively by Meta. Botsense assists with the application process, but approval is not guaranteed and is entirely at Meta's discretion.
- Custom chatbot deployment: 24-48 hours after requirements are finalized. Once your dedicated account manager has gathered your chatbot requirements and the conversation flow has been approved by you, our development team will build and deploy the chatbot to your account.
- n8n workflow deployment: 24-48 hours after scope confirmation. Custom automation workflows are deployed after the integration scope, triggers, and actions have been mutually agreed upon between you and your account manager.
- Third-party integration setup (Shopify, WooCommerce, CRM, etc.): 1-3 business days. The timeline depends on the complexity of the integration and the availability of API access or credentials for the third-party platform.
4. Onboarding Process
Every new Botsense customer goes through a structured onboarding process to ensure a smooth setup and successful launch. The onboarding steps are as follows:
- Step 1 — Account Creation and Payment: You create your Botsense account and complete the payment for your chosen subscription plan. Your platform access is activated immediately upon payment confirmation.
- Step 2 — WhatsApp Business Verification: Our team guides you through the Meta Business Verification process, also known as KYC (Know Your Customer). You will need to provide business registration documents, a valid business website, and other details as required by Meta.
- Step 3 — Phone Number Connection: Your designated business phone number is connected to the WhatsApp Business API through Botsense. This number will be used to send and receive all WhatsApp messages through the platform.
- Step 4 — Template Creation and Approval: Our team helps you create WhatsApp message templates for notifications, marketing campaigns, and other outbound communications. These templates are submitted to Meta for approval before they can be used.
- Step 5 — Platform Training: Your dedicated account manager provides a comprehensive walkthrough of the Botsense platform, covering the dashboard, chatbot builder, broadcasting module, shared inbox, analytics, and any integrations relevant to your business.
- Step 6 — Go Live: Once your phone number is connected, templates are approved, and your team is trained, you are ready to go live and start engaging with your customers through WhatsApp.
5. Account Manager Assignment
Every Botsense subscription plan, including the Starter plan, comes with a dedicated account manager. Your account manager is assigned within 24 hours of payment confirmation and serves as your primary point of contact throughout your subscription. The account manager assists with onboarding, platform training, chatbot development, campaign strategy, troubleshooting, and any other support you may need. This is a core part of the Botsense service model — you receive a team, not just a tool.
6. Service Availability
The Botsense platform is available 24 hours a day, 7 days a week, 365 days a year, subject to scheduled maintenance and unforeseen technical issues. Scheduled maintenance windows, if any, are communicated in advance via email or through the platform dashboard. Customer support from your dedicated account manager and the Botsense support team is available during standard business hours: Monday to Saturday, 10:00 AM to 7:00 PM IST (Indian Standard Time). For urgent issues outside of business hours, you may reach out via email at support@botsense.io, and our team will respond as soon as possible on the next business day.
7. Delays and Exceptions
While Botsense strives to meet the delivery timelines outlined above, certain circumstances may cause delays that are beyond our control:
- Meta verification delays: The WhatsApp Business API setup and green tick application are dependent on Meta's verification and approval processes. Botsense has no control over the speed at which Meta reviews and processes these requests.
- Incomplete documentation from customer: If required business documents, API credentials, or other information requested during onboarding are not provided in a timely manner, the setup process will be delayed accordingly.
- Payment gateway processing delays: In rare cases, payment confirmation from Razorpay or your bank may take longer than expected. Platform access is activated only upon confirmed payment receipt.
- Force majeure: Events beyond the reasonable control of Botsense, including but not limited to natural disasters, internet outages, government actions, or disruptions to third-party services (such as Meta or Razorpay), may impact delivery timelines. Botsense will not be held liable for delays caused by such events.
In all cases, Botsense will keep you informed of any delays through your dedicated account manager and via email.
8. Communication During Setup
Throughout the onboarding and setup process, Botsense maintains active communication with you to ensure transparency and a smooth experience. Your dedicated account manager will provide regular updates via WhatsApp and email. All milestone completions, pending actions, and expected timelines will be communicated clearly. If any action is required from your side (such as submitting documents or approving a chatbot flow), your account manager will notify you promptly. You can reach your account manager directly via WhatsApp or email during business hours for any questions or concerns about the setup process.
9. No Physical Shipping
To reiterate, Botsense is a purely digital SaaS platform. No physical goods, products, or materials are shipped, delivered, or dispatched as part of any Botsense subscription or service. There are no shipping charges, delivery fees, courier services, or physical logistics associated with any Botsense transaction. This Shipping and Delivery Policy exists solely to describe the digital delivery of our software services and to comply with payment gateway and regulatory requirements that mandate a shipping and delivery policy for all online businesses.
